The problem
Linden’s front desk was spending 120 staff-hours a week confirming appointments by phone. No-shows were costing roughly $2M a year, and rescheduled visits disappeared into a voicemail queue nobody had time to clear.
The system
We built a scheduling agent that texts patients 48 hours and 24 hours before their appointment, parses replies (yes / no / reschedule with new time), updates the EHR, and offers freed-up slots to the next patient on the waitlist. Edge cases, frustrated patients, complex reschedules, escalate to a human.
The result
No-shows dropped 40%, throughput rose 25%, and the front desk finally got off the phone long enough to greet patients in the lobby.
